Program Coordinator
We are seeking an experienced and highly organized Program Coordinator to lead our administrative and logistical support for comprehensive HIV/AIDS and Viral Hepatitis planning initiatives. The successful candidate will be responsible for the seamless coordination, planning, and execution of meetings, activities, and communications for various statewide advisory groups and workgroups. This role is central to facilitating community and stakeholder engagement to impact HIV/HCV prevention and care services. Ideal candidates must be located in Tallahassee, FL.
Responsibilities:Meeting and Event Management:
Plan, schedule, and provide logistical support for a variety of meetings, including monthly conference calls, biannual and annual in-person/virtual meetings, an annual HIV Symposium, and an annual Viral Hepatitis Summit.
Manage all meeting logistics, including securing locations, coordinating audiovisual equipment, and arranging catering.
Develop and distribute meeting materials, including agendas, meeting packets, presentations, and summaries.
Create, distribute, and compile meeting minutes, follow-up action items, and evaluation surveys.
Communication and Coordination:
Serve as the primary administrative contact for network members, distributing approved communications, meeting notices, and reminders.
Work in close collaboration with network leadership to develop meeting agendas and ensure all activities align with strategic goals.
Maintain a comprehensive membership roster and produce visual maps indicating geographic representation.
Program Support and Administration:
Assist statewide workgroups in the development of Annual Workplans and SMART Objectives.
Manage the collection, processing, and payment of travel reimbursement requests for eligible workgroup members.
Develop and disseminate an annual Community Needs Assessment survey.
Data Analysis and Reporting:
Develop and implement a monitoring and evaluation plan to assess the implementation of the state's Integrated HIV Prevention and Care Plan.
Complete a quarterly Needs Assessment Analysis based on survey data, breaking down results by county, demographics, and service needs.
Prepare and submit comprehensive Quarterly Progress Reports detailing all tasks, deliverables, and outcomes.
A minimum of five (5) years of experience in planning and facilitating HIV/AIDS prevention and care planning group activities.
A minimum of five (5) years of experience in professional meeting and conference facilitation (both virtual and in-person).
A minimum of five (5) years of experience in data analysis related to HIV and/or Hepatitis.
A minimum of three (3) years of experience in change management related to strategy implementation, including effecting and controlling change within a planning process.
Proven experience and technical capacity to coordinate and facilitate conference calls, meetings, and webinars using web-based technologies.
Demonstrated experience working with HIV/AIDS and/or viral hepatitis programs or other related public health issues.
